The Utah Department of Cultural & Community Engagement's Division of Arts and Museums (UA&M) seeks an enthusiastic and experienced individual to join our team as a Program Support Specialist. This position requires the performance of a wide variety of administrative support duties. Position is full-time and can accommodate a flexible work schedule, including telework. Requires residency in Utah.

Principle Duties
As the Program Support Specialist you will typically:

  • Help maintain Division budgets; specifically federal funding (National Endowment for the Arts, National Endowment for the Humanities and Institute for Museums and Library Services).
  • Ensure compliance with federal grants through tracking/monitoring and reporting.
  • Assist staff with state procurement; including requirements, processing, grant/MOU contracts, and LPD approvals.
  • Provide recommendations and support to program managers based on working knowledge of federal and state guidelines, requirements and reporting.
  • Create and maintain vendor relationships, such as constituent payment inquiries.
  • Work with UA&M Data Specialist to maintain statistical information on program performance; support ongoing UA&M evaluation and system improvement processes.
  • Serve as the Division liaison for State Division Rulemaking Authority.
  • Coordinate with Department liaison to track, inventory and order IT equipment.
  • Work with leadership on the use of salesforce for administrative tasks.
  • Perform other duties as required to support the mission and function of the Division.

Ideal Candidate
The ideal person for this position will possess:

  • The ability to learn and manage complex tasks.
  • Strong organizational, analytical, interpersonal, oral and written communication skills.
  • The ability to initiate projects and work independently with minimal supervision.
  • Financial management experience, including accounting, general bookkeeping experience and payment processing.
  • Proficiency with Microsoft Office Suite, Google Workspace and Salesforce.
  • Experience interpreting and applying policies, grant requirements, technical directives, state/federal standard and regulations, and implementing compliance processes.
  • The ability to exercise sound judgement and solve problems skillfully.
  • The ability to manage multiple projects simultaneously and meet deadlines.
  • The ability to explain complex concepts/goals of program or project; recognize service needs, resource constraints and develop alternative solutions.

Preference
Preference may be given to those with a Bachelor's degree or a combination of education and work experience that provides the necessary skills to successfully accomplish job duties.
